Hidden costs of live music that you forget

The fee isn't the final invoice. With live music, a handful of cost items regularly cause surprises — not because they're hidden, but because nobody actively explains them.

The five most common budget mistakes

After years of guiding couples and event managers, there are five cost items that consistently cause surprises. None of them is a hidden surcharge — they're always in the quote. But they're rarely actively explained at first contact.

1. VAT: 6%, always extra

All fees for music performances are excl. VAT. The rate is 6% — the reduced cultural rate. But 6% on €5,000 is still €300 extra. For a fully music-covered wedding day of €6,310 excl. VAT, you pay €6,689 incl. VAT. Always add this to your budget. The official regulation is at Cultuurloket.

2. Travel costs: surcharge for distant venues

Most ensembles apply a base amount for travel costs included in the fee. For venues outside the standard travel zone — a castle in the Ardennes, an outdoor venue on the coast — a surcharge is applied. Ask about this explicitly when requesting your quote.

3. PA hire: not always included

Sound equipment is included in the fee with some ensembles, not others. The Belpopband has its own professional PA but this is separate from the fee. DJ Stecks bills equipment separately. If you book the Belpopband for €2,500 and forget to ask whether PA is included, you may face an unplanned €500–€800 extra.

4. Extra hours: surcharge per hour

An ensemble plays its standard set and stops. Anyone wanting them to play longer — because the party runs on — pays a surcharge per extra hour. Fix this hourly rate in advance in the contract, so you have no surprise on the night itself.

5. Special repertoire: sometimes extra rehearsal time

A standard setlist is always included. Anyone wanting a specific piece the ensemble doesn't play by default sometimes pays a surcharge for extra rehearsal time. Not always — but it's worth asking.

6. Music rights: usually arranged, sometimes not

At a wedding or private party in a function venue, music use is usually covered by the venue's annual licence. If you're organising an event yourself on your own grounds or outdoors — or you're a company organising a staff party — you handle the declaration yourself via Unisono, the single platform for Sabam and the Fair Remuneration. Important nuance: the Fair Remuneration only applies to recorded music; for a purely live performance you don't pay it. With every quote, explicitly ask:

  • Is the price excl. or incl. VAT?
  • Are travel costs included, and what's the surcharge for my venue?
  • Is PA included? If not, what does it cost separately?
  • What's the surcharge if the event runs over?
  • Are there costs for my specific repertoire wishes?
